# Onboarding your team

> How to add team members and help them get started with the team portal.

This page is for business owners adding employees or contractors to Clarely. If you're a team member who was just added to a Clarely account, skip to [For team members: how to log in](#for-team-members-how-to-log-in).

## Adding a team member

    In Clarely, open **Account → Settings → Team**.

    Tap **Invite Team Member**. Enter their first name, last name, and the email address they'll use to log in. Tap **Send Invite**.

    Your team members don't log in at clarely.app — they use a separate team portal. The URL is based on your business slug.

    Find your slug in **Account → Settings → Business**. Your team portal URL looks like: `clarely.app/your-business-slug`

    Send them that URL. They'll need it every time they log in.

## For team members: how to log in

  Team members use a different URL than the main Clarely app. Your employer should have sent you a team portal link. If you don't have it, ask them for your team portal URL before continuing.

    Open the team portal URL your employer gave you in Safari (iPhone) or Chrome (Android). It will look like `clarely.app/your-employer-slug`.

    Save this link or add it to your home screen — you'll use it for every shift.

  <Step title="Enter your email">
    Type the email address your employer used when they added you. Tap **Send Code**.

  <Step title="Check your email for the access code">
    Clarely sends a 6-digit code to your email. Open your email, find the message from Clarely, and copy the code. The code expires after 15 minutes.

  <Step title="Enter the code">
    Back in the portal, enter the 6-digit code. Tap **Sign In**.

    Your session lasts up to 10 hours. When it expires, you'll need to request a new code.

<Tip>
  Add the team portal URL to your phone's home screen so you can open it in one tap. On iPhone, open it in Safari, tap the Share button, and tap **Add to Home Screen**. On Android, open it in Chrome, tap the three-dot menu, and tap **Add to Home screen**.

## What team members see

The team portal shows only what a team member needs to do their job. They see:

* Their assigned jobs with date, time, and location
* Client name, address, and phone number for each job
* Scope notes and team notes added by the owner
* Job status controls: mark a job In Progress or Completed
* A field notes area to log what happened on the job

Team members cannot see:

* Jobs assigned to other team members
* Quotes or invoice amounts
* Owner notes (private notes the owner writes for themselves)
* Billing or account settings

## Notes: owner vs team vs client-visible

When you create a quote or job, there are two note fields with different visibility:

| Note type       | Who sees it                                                                                                             |
| --------------- | ----------------------------------------------------------------------------------------------------------------------- |
| **Owner notes** | Only you. Your team never sees these.                                                                                   |
| **Team notes**  | You and assigned team members. Use for on-site instructions, access codes, client preferences, anything the crew needs. |

Client details (name, address, phone) are visible to assigned team members. Pricing and invoice amounts are never shown.

## Assigning jobs to team members

Open any job and tap **Assign**. Select one or more team members from your list. Assigned team members will see the job appear in their team portal immediately.

If you remove an assignment, the job disappears from that team member's portal.

## Removing a team member

If someone leaves, go to **Account → Settings → Team**, find the team member, and tap **Remove**. Their access is revoked immediately — their active session is invalidated and their next action in the team portal will fail.

Removing a team member doesn't remove their assignment from existing jobs. Reassign those jobs to someone else if needed.
