# Acceptance flow

> What happens after a client accepts a quote.

When a client signs a quote, Clarely moves it to **Accepted** status immediately. What happens next depends on the acceptance flow you chose when creating the quote.

## Field service flow

For field service businesses (cleaning, trades, maintenance), a job is **created automatically** the moment the client signs. You don't need to take any action to create it — it appears in your **Jobs** list ready to schedule.

<Steps>
  <Step title="Quote accepted">
    Client signs. You receive a notification. The quote moves to Accepted and a job is automatically created from it.
  </Step>

  <Step title="Schedule the job">
    Open the job from your Jobs list. Set the date, time, and assign a team member if needed.
  </Step>

  <Step title="Complete the job">
    Mark the job completed when the work is done. A draft invoice is created automatically the moment you do — whether it also gets sent to your client automatically depends on your Auto-send setting. See [Automatic invoicing](/invoices/auto-invoice) for the full picture.
  </Step>

  <Step title="Send the invoice">
    Review the draft invoice and tap **Send Invoice** when ready. The invoice goes to the client with your payment details.
  </Step>
</Steps>

## Professional services flow

For work where no on-site job is needed — consulting, design work, or similar — an invoice is created and sent automatically when the client signs.

<Steps>
  <Step title="Quote accepted">
    Client signs. An invoice is generated immediately from the accepted quote and sent to the client.
  </Step>

  <Step title="Collect payment">
    The client receives the invoice by email and pays through your configured payment handles.
  </Step>
</Steps>

<Note>
  In the professional services flow, the invoice is sent automatically on acceptance — there's no manual step required. Make sure your payment handles are configured in **Settings → Invoicing** before using this flow.
</Note>

## Manual flow

For quotes where you want full control over timing — nothing happens automatically. No job, no invoice.

<Steps>
  <Step title="Quote accepted">
    Client signs. The quote moves to Accepted. Nothing else happens automatically.
  </Step>

  <Step title="Create what you need, when you need it">
    Open the accepted quote and create a job, an invoice, or both, whenever you're ready.
  </Step>
</Steps>

Use this flow when a job or invoice created right away wouldn't reflect reality yet — for example, work that depends on a separate scheduling conversation, or billing you want to trigger yourself rather than have Clarely trigger for you.

## Which flow to use

You set the acceptance flow when creating a quote. Field service is the default — it works for any trade or service business where work happens on-site before you invoice. Professional services is the right choice when you deliver work remotely or want to collect payment up front after signing. Manual is the right choice when you'd rather create the job or invoice yourself, on your own timing.

You can change the default for all new quotes in **Settings** → **Workflow**.

## Notifications

You receive a notification when a client signs. Make sure Clarely is installed on your home screen and notifications are enabled for the app. See [Install on your phone](/getting-started/pwa-install).
