The essentials (do these first)
Add your business name
Go to Account → Settings → Business. Set your business name — it appears on every quote, invoice, and email you send. Clients see it immediately. Use the name they know you by.
Add your payment handles
Still in Business Settings, scroll to the Payment section. Add at least one:
- Venmo — your username without the @
- Cash App — your cashtag without the $
- Zelle — your registered email or phone number
Install Clarely on your phone
Go to clarely.app in Safari (iPhone) or Chrome (Android) and add it to your home screen. This gives you push notifications the moment a client signs a quote — which is time-sensitive. See Install on your phone for step-by-step instructions.
Quoting defaults
Go to Account → Settings → Quoting to configure defaults that apply to every new quote. Default tax rate — if you charge tax, set it here. It prefills on every quote so you’re not entering it each time. Contract terms — choose Standard or Enhanced. Standard covers the basics. Enhanced adds more detailed legal language. Both are included in your plan — pick the one that fits how you work. Default acceptance flow — choose between “Schedule a job” (field service: cleaning, trades, maintenance) and “Send invoice immediately” (professional services: consulting, design, remote work). You can override this per quote, but setting the right default saves a step every time. Quote expiry — how many days before an unsigned quote expires. Default is 30 days. Adjust to match your business reality. Quote follow-up — Clarely can automatically follow up with clients who haven’t signed. Set the timing and message here.Invoicing defaults
Go to Account → Settings → Invoicing. Net terms — how many days after sending until payment is due. Default is 14 days (net 14). Change this to match what you tell clients. Payment reminders — Clarely can automatically email clients who haven’t paid. Set how many days after the due date before the reminder goes out. This runs in the background and stops automatically when the invoice is paid. Late fee — if you charge late fees, configure the type (percentage or flat) and amount here. This shows as a preview on overdue invoices. Auto-invoice — when enabled, completing a job automatically creates a draft invoice if the job was linked to an accepted quote. Saves a step for every job completion.Schedule defaults (optional)
Go to Account → Settings → Schedule. Default job duration — how long jobs appear on your calendar by default. Adjust if your typical job isn’t 3 hours. Calendar hours — the time range shown on your calendar view. Set this to match when you actually work. iCal sync — if you want Clarely jobs to appear in Google Calendar, Apple Calendar, or another calendar app, your iCal feed URL is here. Copy it and subscribe in your calendar app.Team (if you have employees)
Go to Account → Settings → Team to invite team members. Enter their name and email — they’ll receive a welcome email and log in through your staff portal when they’re ready to work. Your staff portal URL is based on your business slug. You can find and customize the slug in Business Settings.Upload your logo (optional but recommended)
Back in Account → Settings → Business, upload a logo. It appears on every quote and invoice your clients see. PNG, JPG, or SVG, at least 300px wide. A logo makes your documents look professional immediately.Once you’ve worked through this list, you’re ready to send your first quote. See Send your first quote.
