Team members are the people who work jobs in your business. They get access to their assigned jobs, can update job status and add field notes, and log in through a separate staff portal — no access to your quotes, invoices, or account settings.

Adding a team member

Go to Team settings

Open AccountSettingsTeam.

Invite the team member

Enter their first name, last name, and email address, then tap Send Invite.

They set up access

Your team member receives a welcome email. When they’re ready to log in, they go to your staff portal (see below) and sign in with their email using a one-time code.

The staff portal

Team members don’t log in through clarely.app. They use a separate staff portal — a dedicated URL tied to your business. Your staff portal URL is based on your business slug, which you can find and customize in AccountSettingsBusiness. How team members log in:
  1. They open your staff portal URL in a browser (or save it to their home screen)
  2. They enter their email address
  3. Clarely emails them a one-time access code
  4. They enter the code to sign in
There’s no password to set up or remember. Each login generates a fresh code sent to their email. Sessions last up to 10 hours.

What team members can do

Team members see only what they need to do their job:
  • View their assigned jobs and job details
  • See client name, address, and phone number for assigned jobs
  • Update job status (In Progress, Completed)
  • Add and edit field notes on in-progress jobs
  • Update their own name
Team members cannot:
  • See unassigned jobs or other team members’ jobs
  • View quotes, invoices, or pricing
  • Access billing or account settings
  • See owner notes (only staff notes are visible)

Disabling a team member

Go to AccountSettingsTeam, find the team member, and tap Disable. Their access is revoked immediately — their current session stops working on the next action. Jobs they were assigned to remain assigned; reassign them if needed.

Staff notes vs owner notes

When creating a quote or job, you have two note fields:
  • Owner notes — private to you only, never visible to team members
  • Staff notes — visible to the assigned team member through the staff portal
Use staff notes for anything the crew needs on-site: gate codes, parking instructions, what to avoid, client preferences.
