Can I change the line items on an invoice? Yes, while the invoice is in Draft status. Open it, make your edits, and save. Once sent, you can still edit some fields, but the core line items are drawn from the signed quote. For work that wasn’t in the original quote, create a new quote for that additional scope. What if my client wants to pay by cash or check? Accept the payment and record it in Clarely manually. Open the invoice and tap Mark as Paid. Enter the payment method and date. This updates the invoice status for your records — no funds are processed through Clarely. How do clients pay? Clients pay you directly through Venmo, Cash App, Zelle, or any method you configure in your account settings. The invoice page shows your payment handles with tap-to-copy buttons. There’s no card processing — payment happens outside Clarely. When do I receive the money? As soon as the client sends it through their payment app. Clarely is not in the payment flow, so there’s no hold, processing delay, or fee. The money goes directly to your Venmo, Cash App, or Zelle account. Can I send an invoice before completing the job? For field service jobs, invoices are typically generated after the job is marked complete. For professional services quotes (using the “Send invoice immediately” acceptance flow), the invoice is sent automatically when the client signs — no job step required. You can also create a manual invoice at any time from the Invoices section if you need to invoice outside of the standard workflow. What if my client disputes what was included? The signed quote is your record. It shows exactly what the client agreed to, with their name and a timestamp. Open the quote and show them the line items they signed. Every line item, price, and total is permanently frozen at the moment of signing and cannot be changed. Can I add a discount to an invoice? The cleanest way is to add a discount as a line item with a negative amount on the originating quote before sending it. Whatever is on the signed quote carries to the invoice. Can I create an invoice without a quote? Yes. Go to Invoices and tap New Invoice to create one manually. Select a client, add line items, and send.
